What it takes to run online video focus groups

Most online focus group guides treat video as one format among several. This post is specifically for teams running live video focus groups and working through the technical setup that affects them: camera, connection, recording, client observation, and issues that are harder to fix once fieldwork starts. 

What makes a focus group uniquely "video", as compared to audio-only or text-based focus groups 

A video focus group is a synchronous, moderated group discussion where participants and the moderator are on camera. This distinction is important to call out, because Video introduces specific requirements, which Audio-only or Asynchronous formats do not demand. 

Audio-only sessions need a stable connection and a decent microphone. Text-based communities are asynchronous by nature. Synchronous video vs. asynchronous video responses 

Synchronous live video focus groups run in real time. Six to eight participants, a moderator, and often a backroom of client observers, are all connected simultaneously. Asynchronous video responses (pre-recorded clips submitted by participants against a discussion prompt) are a different format. They give researchers visual data without the live coordination challenge. However, they miss the group dynamic entirely. If the group dynamic is the research objective, synchronous is the right format. 

When video is worth the extra setup 

Video becomes the format of choice when: 

  • The topic has emotional or physical dimensions, that facial expression can easily reveal 

  • Stimulus material (concepts, packaging, advertising) needs to be shown in real time, with participant reactions visible 

  • The moderator needs to read hesitation or enthusiasm, as the conversation progresses 

  • Client observers need to see the room, not just a transcript  

For straightforward opinion or recall tasks where expression is incidental, Audio-only carries less technical risk. 

The core tech stack for online video focus groups 

Camera and microphone requirements for participants 

Participants do not need extensive or professional equipment. The practical minimum suffices: 

  • Camera: Built-in webcam on a laptop or external USB webcam at 720p or above. The positioning matters more than the resolution. Eye-level framing is standard. A camera significantly below eye level (pointing up from a laptop on a desk) distorts the moderator's read of engagement and expression. 

  • Microphone: If the environment is quiet, built-in laptop audio works for most participants. A headset eliminates echo and background bleed. For participants in shared or noisy spaces, a headset should be recommended in the screener and confirmed at the tech check. 

  • Lighting: Participants facing a window or a light source produce usable video. Participants backlit by a window produce a silhouette. Include a one-line instruction in the pre-session communication: "Sit facing a window or lamp, rather than with one behind you." 

Bandwidth and connection minimums 

A minimum of 10 Mbps upload and download is practical for a stable video group session. Below that, expect compression artefacts, lag, and intermittent drops in the video stream. 

For context: Zoom recommends 3.8 Mbps upload and 3.0 Mbps download for 1080p HD group calls. That is per participant, and it assumes no other active traffic on the same connection. A realistic household or office connection shares bandwidth across multiple devices. 

Thus, the practical checklist for participants: 

  • Wired Ethernet connection preferred over WiFi where possible 

  • Close other browser tabs and applications before the session 

  • Avoid joining from a shared office network during peak hours 

  • Run a speed test at the pre-session tech check, not just on the day 

Recording, storage, and consent 

Every video focus group setup requires a clear recording consent process before fieldwork begins. Recording consent explicitly covers audio and video. It specifies who will have access to the recording, how long it will be retained, and whether AI tools will process the transcript.

Setting up live client observation during a video session 

Backroom viewing without disrupting the session 

A standard challenge for client observation in live video focus groups is the shared link: Clients join the same video call as participants, mute themselves, and turn their cameras off. The problem with that – participants can see them in the participant list, know they are being watched by named individuals, and adjust their responses accordingly.

In an online group scenario, participants talk over each other not because they are rude but because they cannot read the room the way they would in person. Typically, lag above 200ms tends to distort conversational turn-taking. The fix lies in the prep: tech checks with every participant before fieldwork, not on the day. A participant who fails a tech check 24 hours before the session can be replaced from the over-recruited pool.  

Top tip: For persistent lag during a session: reduce video quality in the platform settings to 720p, ask the affected participant to turn off their camera temporarily, and continue.  

Poor lighting and framing skewing the read of body language 

A moderator reading participant responses through video relies heavily on facial expression and visible reaction. Poor lighting (backlit, dark room, harsh overhead) and poor framing (camera below eye level, participant half out of shot) reduce the usable visual signal without eliminating it, which is worse than no visual signal; because it creates false reads. 

Top tip: Pre-session guidance in the confirmation email eg. Face a light source, position your camera at eye level, make sure your face fills roughly the centre third of the frame.  

Participants who keep cameras off 

Some participants keep cameras off by habit or discomfort. In a video focus group setup, this reduces the moderator's visibility into engagement and creates an asymmetry in the group dynamic.  

Top tip: Address it at the screener stage by specifying camera-on as a participation requirement. Confirm it again at the tech check. If a participant keeps their camera off at the session start, a direct and low-pressure request from the moderator resolves most cases: "For this session we need everyone on camera so the group can see each other. Can you switch yours on?" Framing it as a group norm rather than a moderator preference, reduces resistance.

Video preserves body language cues that Audio-only loses. This matters most for emotionally sensitive or visual topics. It adds setup overhead and can make some participants more guarded, but for research where visual response is part of the data, the trade-off is worth it.
